About Roam

Creating convenience and flexibility for teams who collaborate, and live across Metro Atlanta, Roam is the comprehensive work, meet, and office solution.  Roam serves corporations and remote professionals alike with shared workspaces located across the city’s most prominent economic hubs. 

Roam focuses heavily on supporting meetings and events in addition to shared workspace and private offices. The first space opened its doors in 2008 and the company has since grown to 8 locations. Recently, the Roam team announced that they were expanding operations to Dallas, Texas!

There’s another factor the Roam team credits with aiding their growth over the past few years: strategically deploying OfficeRnD Flex to help manage bookings, automate billing, and scale business processes.

The problem: Disconnected systems and custom development caused slowdown for staff and members

Before moving to OfficeRnD Flex, Roam was using a mix of custom developed solutions to manage billing, meeting room bookings, and other day-to-day operational activities. But instead of helping them scale, developing this custom software was holding them back.

Bret Briggs, Director of Field Operations at Roam gives us some insight into their experience, “Before OfficeRnD we used a software called Infusionsoft and an expensive custom booking system that glitched all the time. Adding in a new location with meeting rooms could cost $10,000 because we had to rewrite custom code.”

Growing to new locations with more resources was a time-consuming and expensive process, and billing and invoicing issues took a significant amount of time for community managers. Furthermore, Roam used an additional system to manage meeting room bookings. All of this led to a disconnected experience for members and a difficult process for staff. “Everything was so manual and nothing was tied to our website. So there was no way for prospects to self sign up. There was also no reporting or office utilization figures. It wasn’t easy to see what rooms were being used, and how much money we were making on them,” Bret explained.

Roam understood the value of their staff’s time and knew how important it was to focus on members. The team realized the need for an easy-to-use coworking software that would support their growth plans. The OfficeRnD Flex platform turned out to be the perfect fit. The platform met the functionality and scaling requirements and would decrease Roam’s expenses for technology.

The solution: Implement OfficeRnD to automate operations and scale business processes

After exploring various software vendors, Roam decided to implement OfficeRnD Flex across its locations. OfficeRnD’s ability to automate critical business processes and provide a better booking and billing experience for members made the decision easy.

Roam worked with the OfficeRnD team over a 12-week period to move its business operations over to the platform. Hundreds of companies and thousands of members were transferred into OfficeRnD and members were re-invited into the new portal in a seamless process. 

Throughout the onboarding process, Roam worked with OfficeRnD to streamline many of its key business processes in the new platform:

  • Billing: Automated Invoicing and membership process gives Roam’s team more time for members
  • Booking Experience: Intuitive member portal lets Roam’s members book rooms and pay themselves
  • Office Management: Floorplan and space management helps Roam sell offices easier
  • Analytics: Accessible dashboards and reports inform Roam to help make better decisions
  • Integrations: Roam syncs door access with Kisi, charges payments with stripe, and connects finances through Quickbooks. 

The OfficeRnD Flex solution allowed Roam’s staff to stop focusing on manual and tedious billing processes and get back to what really matters. Along with backend tools, Roam deployed white-label apps for members to increase brand awareness and to give easy access to bookable resources across their 8 locations. Members can use the app from anywhere to stay connected with workspace amenities.

The white labeled branded mobile app legitimizes us as a business by having our dedicated app on the store. Our clients can easily book rooms on the app and have no idea it is OfficeRnD behind the scenes.

Roam also uses the OfficeRnD Rooms app outside all of their meeting and event spaces. OfficeRnD Rooms is a white-label tablet app operators can use outside of conference rooms that displays upcoming meetings. “All of our 100+ meeting rooms and event spaces are using the OfficeRnD Rooms app to make the rooms look more official. Now people can walk up and see if the room is available immediately instead of going online and looking at the booking calendar,” Bret explains.

The impact: Scaling faster with happier members and staff

Since OfficeRnD has been fully implemented in Roam, operations run more efficiently and Roam’s employees are able to save time and focus more on members. The team has also made some decisions about how they will scale in the future. “We won’t use a new technology system now that isn’t scalable like OfficeRnD. The team has been able to measure revenue growth with the platform, especially with their office products. “OfficeRnD has definitely helped us scale best practices more efficiently across locations! The platform allows us to bring new staff and members in, rinse, wash, repeat, and grow. Scaling operations is just easy to do and certainly, revenue has scaled too,” Bret explains. This rapid growth helped Roam quickly hit another exciting milestone – moving into another state and opening a new location with more offices than ever before!

 

It would be very hard to manage the 70 offices at our new Dallas location without OfficeRnD. If we didn’t have a member management platform that specializes in floorplans, offices, and contracts, there’s just no way you could ever expect to efficiently and effectively manage that many resources.

OfficeRnD, Bret says, has become a critical tool for their staff and members daily. As a company that relies on its members loving them to grow and scale, making members happy is an especially important function for the overall success of the business.

Bret says he sees OfficeRnD as a vital tool for Roam.
